I want to issue a warning letter to a fleet assistant who gave a higher class vehicle as a replacement during the regulare seevice to a customer who currently using a lower category vehicle.- please see below.
It has been noticed that you have provided a (vehicle name) as a replacement vehicle against (vehicle name) to a customer without prior approval from the management. As per the policy, the replacement vehicle should be the same category vehicle or equivalent. If both class of these vehicles are not available or an emergency situation, you are allowed to upgrade with higher class vehicle but to a certain extent i.e. for maximum one or two days. After this, you require to pull back the vehicle and provide the original vehicle back or same category vehicle. We have found that this customer is using the upgraded vehicle since one month which causes revenue loss to our company.
A financial penalty equivalent one month rent will impose to you to compensate the revenue loss to the company.
