Additional ascot card required on my daughters name(pls correct me)

I would like to inform you that my son Master (name) studying in 1st standard at your school. I also would like to request you to provide additional temporary ascot card on my daughters name Ms. (name) since we are going for holidays from 7th April 2011 to 20th April 2011.

A few questions:
1. Why do you need to inform them that your son is studying with them? Surely they know that? You don't mention your son again, so how is that relevant?

2. What is an ascot card?

3. Do you really use "Master" for young boys where you live? And Ms for young girls?

no we do not us master or ms for young boys and girls. i don know the exact spelling of ascot card but it is the card given to parents to pick their son or daughter from the school. we are going for holidays and i need that card in my daughters name so that she can pick my son during that period.
