does this claim letter for refund look okay?

We are giving 6 weeks advance notice that three of our employees will not be attending the seminar on June 1-2 due to extended business projects. Please remove the following employees from the registration list: <<names removed by moderator>>.

We regret not being able to attend this seminar, but hope to attend others in the near future. If you require any further information feel free to contact me at the address or phone number provided above. I appreciate your prompt attention to this matter. It seems fine to me except for six weeks' with an '. Did the refund policy specify a six-week notice?

no it did not specify a 6-week notice.

I ask because between now and June 1 is far more than six weeks. I thought perhaps you had to give at least a six-week notice for a full refund.
