    Default Voucher Narration

    Dear Teacher,

    The following sets of narration are being used on our organisation’s account vouchers: -

    Being amount of inward returned cheques Central Bank - XXXXX

    Being amount of outward returned cheques Central Bank - XXXX

    Being amount of inward clearing cheques Central Bank - XXXXX

    Being amount of outward clearing cheques Central Bank - XXXX

    I believe the word “amount” used is redundant as the amount in figures (XXXXXX) is shown to the right of the narration in the amount column. Therefore can the word “amount” be omitted from the narration?

    The inward returned cheques and inward clearing cheques are received from the Central Bank while the outward retuned cheques and outward clearing cheques are dispatched to the Central Bank. Therefore I believe the narration should indicate the flow of the documents to its destination or from its originator. Can the sets of narration then be reworded as follows: -

    Being total inward returned cheques received from Central Bank.

    Being total outward returned cheques sent to Central Bank.

    Being total inward clearing cheques received from Central Bank.

    Being total outward clearing cheques sent to Central Bank.

    Personally, I'm not sure you even need the word Being at the beginning.

    You probably could delete it without any problem, but it sounds legalese.

    I think that "being total cheques" sounds as if it should be the total number, not the amount. I would keep amount, but lose being and total.

    Thank you for your comments.

    With regard to the word being, it has been sort of a standard word used to indicate or describe what the voucher represents. If without the word being to start the sentence for the narration would carry the same meaning and is grammatically correct, then omitting it would be agreeable with me.

    The reason for the word amount being omitted from the narration is because the format of the voucher has two columns – Particulars where the narration is written, Amount where the amount in figures is indicated.
    E.g.
    Particulars
    Total Inward Clearing Cheques received from Central Bank today.
    Amount
    506,238.54

    We have a separate report from the Central Bank showing the total number and the amount of cheques. However the Accounts Department is only concerned with the amount.
