Please send us the signed receipt as soon as possible to avoid affect the payment settlement / affect delay payment. All the document must be send complete before (we) pass to finance department for settlement.

    Hi Zoe

"We need to receive all the documents in their fully completed form before we can pass them on to finance department for settlement.

Please send us the signed receipt as soon as possible to minimise any
    delay in payment."

    Regards
    R21

    I'd write "... the finance department ..."

Oops! I, and most of my ex-colleagues, from "both sides of the pond" must have been breaking the rules for some time.

If it had been internal company correspondence, we would have probably actually have written: ".... to Finance ...".

If it had been external correspondence to another company, we would have probably written: ".... our Finance Department ...".

    Regards
    R21

PS Which is governing, in such a case - grammar or style?
