When placing ther term Enclosures in a letter, is the correct placement above the cc: named individual if they have received the enclosures or below their names. I have always been taught that if an individual is receiving a carbon copy of the letter and the enclosures referenced in the letter, their names should appear above the word Enclosures, thereby indicating that everyone above the word Enclosures has received the enclosure. If the individual receiving a carbon copy of the letter is NOT receiving the enclosures then their name should appear below the reference to the Enclosures. i.e.

Sincerely,

Suzie Smith

SS/dmc

Enclosure

cc: Joseph Jackson, Esquire

If Joe were receiving the enclosures, his name would appear below Enclosure.

Does anyone know the rule.

Back in my day, shortly after dinosaurs roamed the Earth, I was taught the following format for a business letter with enclosures or attachments:

Yours truly,

(signature)

Seymour Mazlow-Freen
Vice President

SM/oa

Enc.

cc: Walter Feegis
Ed Soobner

All persons receiving carbon copies are listed below the "enclosure" mark, whether they receive copies of the enclosure(s) or not.
