What a pleasant surprise to receive your phonecall! I can hardly believe that you manage to know my office through many hands. Thanks for your enthusiasm that you don’t shrink from the toil and hardship in kept inquiring our whereabouts.

If the person being addressed has already found the office, should the past tense 'managed' be used?

Yes.

Ashiuhto, note that "you managed to find my office through so many hands" is completely ungrammatical and unnatural. We still don't really know what you mean.

I guess the OP means 'through the information from many people's hands', it is Chinglish used by us Chinese people.

It originally means that you asked A whether he/she knows my office. Then, A asked B. Next, B asked C. Later, C asked D. Finally, D told you about my office. So you get connect with me.
