    Work report to the senior officers

    Please help me improve the following work report to the seniors officers. Thank you very much.

    As August has just passed, I would like to sum up what works have been completed and underway within the passed month for your retention.

    1) An e-mail was sent to the police office on 30 August asking them for details of an accident case taking place at our plaza under a footbridge on 14 July. Summary of the e-mail is as follows:

    We would like to seek your provision of the details of an accident case taking place on 14 July at the plaza of our playground under the footbridge connecting the Empire Building and the City Grand Building, which reportedly observed a middle-aged Japanese man with mental problem fell off the footbridge and then found lying on the plaza and eventually certified to be dead after being sent to hospital. Since the case was understandably investigated by your office as suggested in the newspaper and there was no our security guard being on duty or our staff members presenting at the scene during the time of accident, we wish you can provide us with the details of the accident for our internal record purpose by 14 September.

    2) We have been asked by the Technical Division (TD) about the reason for the request of removing the armrests on the stone benches and my reply to TD is as follows:

    Since this office have received several concerns from the members of public and a District Mayor about the armrests on the stone benches which are mostly aged, rusty, broken and cause disturbances and safety concern to them when using the stone benches, we, after carefully assessing the importance of existence and the functionality of the armrests, propose to seek your assistance to remove all the armrests for public safety and convenience.

    3) In response to the repeated request from a District Mayor on 18 August, we ordered our horticultural contractor, with the presence of the District Mayor and our staff members, to carry out pruning work on the shrubs and removal work of weeds at the planters at the entrance of our playground on 28 August.

    On the other hand, in view of receipt of a public complaint against the recurrence of a water point at there being damaged by some parties for private water consumption and found leaking, we asked the Technical Division on 19 August to rectify the leaking problem and conduct a feasibility study on installing a led lock or lock box on the water point to ensure the security of the facility and avoid unnecessary water consumption.

    4) Concerning the improper excavation work carried out by B&W Building Company, my reply to them as follows:

    In view of your company's repeated violation of our trees preservation requirements (like 2 nos. of trees trunk have been found damaged by your work on 1 August) when carrying out excavation works in recent months, we have no other alternative, but to deliver a warning to your persistent misconduct on excavation works and trees preservation matters, you have to submit a Tree Risk Assessment Report on the damaged trees with the provision of 12-month Defect Liability Period for all the trees by 30 September.

    Indeed, we reserve the rights to assess and approve of your application for excavation and request for your compensation against any loss caused by your work. Likewise, we are obliged to strictly comply with the terms and requirements stated on the trees preservation ordinance and carry out proper excavation work in authorized area. Last but not least, your failure in abiding by above-mentioned terms and requirements again may result in your permanent refusal of application for excavation work in future.

    On the other hand, in view of the receipt of a public complaint against the recurrence of a water(drinking?) point at there being damaged by some parties for private water consumption and was found leaking, we asked the Technical Division on 19 August to rectify the leaking problem and conduct a feasibility study on installing a LED lock or lock box on the water point to ensure the security of the facility and avoid unnecessary wasteful water consumption.

    That's hardly part of the "works" that you referred to above! I wonder if "works" is the right term.
