    Report on maintenance issues

    Please help me improve the following report on maintenance issues. Thank you.

    a) We accept the planters handed back to us after a site inspection by our staff yesterday. As the conditions of your plants are up to our requirements and satisfaction, we agree with your suggested end of 3-month Defect Liability Period fall on 02.11.2016. On the arrangement of the affected trees, please keep providing updated information to us if possible advancing the next phase of your work. Indeed, there are six trees standing at the affected planters and tree transplantation works look necessarily to be conducted resulting from your planters reduction proposal.

    b) In view of part of your proposed excavation area at this stage overlaying the works indicated onto Permit No. L3 of Environmental Protection Scheme (EPS), you are required to attentively protect the plants there during your work and replant all the shrubs being forced to be removed caused by your work as well as ensure the number and conditions of all the shrubs are equivalent to that of being before the work, together with a provision of 6-month maintenance period after being certified to meet our satisfaction and any requirements stated on EPS. If any amendment of your work is made, you must stop your work immediately and seek further advice from us.

    c) Recapitulating a recent site meeting with two District Mayors in Mr. Gates and Mr. Baines, both of them quoted the local residents' disappointment about the non-provision of a public toilet at the vast open area of Eminent Road and they requested that there was an imminent and genuine need for the departments concerned to study on the installation a public toilet there. With your departments understandably being the responsible parties to manage the above issue, we wish to refer the case for your further study on the feasibility of the mayors' and the residents' suggestion and we expect you all to directly update them the progress of your respective studies afterwards.

    d) The two traffic signs at our carpark have been installed for years, but recently accused by a member of public of being irregular from the standard stated by the Transport Department (TD), which are fearful of delivering a confused or false message to the car park users. Considering the public concern and the relatively low functional value of the signs, we, regardless of replacing those signs with new ones, propose to dismantle them with the assistance of the Technical Division at an estimated cost of $1,000 provided that we solicit the confirmation from the TD that the signs are located out of emergency access and the removal work will not product any adverse impact on road management or violate any traffic rules.

    By the way, "planters" = "gardeners"; is that what you mean by it?

    I think chowbarry meant "plants" and not "planters". In a contract, the contractor is expected to hand over the works to the owner upon completion of the works, after which the Defects Liability or "Maintenance Period" commences.

    teechar, thank you for your suggestions. Like what tedmc advised, the contractor will hand back the plants to us after the completion of the plantation work and our staff's inspection on the work yesterday. We agree with the suggestion to end the 3-month defect liability period on 02.11.2016. Also, we expect the contractor to keep updating us the conditions of the plants as the next phase of plantation work goes on. Indeed, there are six trees standing at the planting area affected by the plantation work and hence trees transplantation work look necessarily to be conducted since the plantation work will significantly reduce the size of current planting area.

    On the other hand, in view of part of your proposed excavation area overlaying a number of area under Environmental Protection Scheme (EPS), you are required to attentively protect the shrubs there during your work. Also, you need to replant all the shrubs which are forced to be removed due to your work and ensure the number and conditions of those shrubs are equivalent to that of being before the work. Finally, you have to provide a 6-month maintenance period on the shrubs after those shrubs being certified to meet our satisfaction and any requirements stated on EPS.
