    Post Please correct these sentences

Upon inspection, the item was found to be damaged and we informed Mr. X at once.
As per the telephonic discussion between XY and XX, the damaged item has been returned to M/S. X, for issuing a damage certificate. But to vain, The concern department did not issue any damage report against item damaged.
This is not acceptable to us, since it was external damage, we should get a damage certificate from the department concerned.

For these type of issues, the clearing agnecy has to examine the packet which is receiving from the port, and they can claim for the damage report when they notice any visible damages on the boxes so that we can fix this problems once and for all.

Normally, the clearing agency used to arrange for the delivery of the shipments in the evening only, even if the shipment cleared earlier. We need to have all the shipments before 17.00 hrs unless otherwise requested. Always, they promise us to deliver the shipments in the morning, but they do not keep their word

Upon inspection, the item was found to be damaged and we informed Mr. X at once.

As per the telephone discussion between XY and XX, the damaged item was returned to M/S. X, so that a damage certificate could be filed. Instead, the concern department (do you mean complaint department or quality control department?) did not issue a damage report about the item. This is not acceptable to us. Since it was external damage, we should get a damage certificate from the concern department.

In the future, the clearing agency (is this the inspection agency?) must examine any packet received from the port, and they can make a claim in a damage report when they notice any visible damages on the boxes.

In the past, the clearing agency arranged delivery of the shipments in the evenings only, even if the shipment cleared earlier in the day. We need to have all the shipments before 17.00 hrs unless otherwise requested. They continue to promise us delivery shipments in the morning, but they do not keep their scheduled delivery.
