Please help me understand the following in bold.

1. Discuss how people want to work together, whether there are any concerns, best practices, common mistakes made in the past, and so on. For significant projects, consider a personal style inventory or team building activity.

2. As a management trainee, one of my first jobs was to produce the minutes of regular meetings. My boss's secretary typed up the minutes with a carbon copy for our files. We sent the original copy round to participants with a distribution list clipped on top. When you read the minutes, you put them in the internal mail to the next person on the distribution list.

Does the above mean "you sent the minutes to the next person on the distribution list by the internal mail"? What is the internal mail?

What is the internal mail?
In very large companies, organizations, hospitals etc., even if a mailman delivered the sacks of mail to the company himself, he is not going to go from desk to desk, personally handing letters to individuals. Instead, such companies etc have a mailroom, where all mail addressed to the company is sorted into the various departments. This mailroom attendant then delivers the mail to each of these departments; and then a secretary probably goes through the mail delivered to her department, and places it into each person's pigeon-hole.
This whole process, from company mail room to appearing in one's pigeon-hole, is called the 'internal mail'.
