Please help me improve the following e-mails for repair works. Many thanks.
1) With reference to your reminder dated 12.01.2017 regarding the underground leakage problem at our organization's garden, we would like to reiterate that we had observed the leakage problem on 16.12.2016 and immediately reported the case to the Construction Department (CD) for urgent repair work. However, we were informed by staff of the CD on 23.12.2016 after their visit to our garden that they could not identify the cause for the underground leakage and they therefore proposed to carry out an excavation work to find out the route of underground water pipes, which required the acquisition of an excavation work permit from the Traffic Department (TD) to proceed the work and to wait for 3-4 months. Meanwhile, the main water meter was suggested to be switched off except for emergency use during the waiting period. Whilst we are still awaiting the response from the TD regarding our work permit application, we can take limited action to remedy the situation at this moment, but we will immediately inform you once the work permit is obtained and the work commences.
2) Dear Ms. Dawson, Mr. Johnson and Mr. Baines,
Further to the e-mails dated 09.01.2017 to you all, we are pleased to have received the comments from Mr. Johnson and Mr. Baines on the amended proposal of the repair work, but we are sorry not to hear any Ms. Dawson's feedback on the proposal so far. Since there appears to have a divided view over the implementation of the repair work amongst all the involved parties, we trust that it is necessary to hold another joint meeting, with the presence of our Chairman, in one of the following time sessions next week, with an aim of finding a compromised way to resolve the obstacles we all encountered and expedite the commencement of the repair work. Please let me know which time session(s) (we may select more than one) best suit you or if you have alternative time for the meeting time by 23.01.2017.
