I am talking about a new project at work. I am not sure the parts in bold sound idiomatic. Should I include the articles and use either "had been done" or "was done"?

When I suggested a new project, I suggested something new, nothing like something we had done before. My vacation was out of (the) question. I prepared the plan and (the) strategy for this project. When everything had neen done/was done, I introduced the project to the management.

My vacation was out of the question. You need to include the article, but I have no idea how this connects to the rest of the text.

I prepared the plan and (the) strategy for this project. The second article is optional.

When everything had been done/was done, I introduced suggested/presented the project to the management. I'd use the past perfect.

Perhaps:

When the plan was finished I presented to management.
