[Grammar] When to use 'from' or 'by'

Hi, I am preparing some training content and would like to know the difference between the words 'from' and 'by'.

A sample phrase would be:

The default for the Accept Backorders? field is populated by the Customer's Master File but can be modified manually for each individual order.

Is the use of 'by' correct in this instance?

Hi dpoirier,

There's nothing wrong with using 'by' in your instance.

But I will show you when you would use 'from' and 'by' in your specific case.

Using FROM
"Each individual order contains an 'Accept Backorder' field. The value of this field is take FROM the customer's master file."

"The 'accept backorder' field of each individual order is drawn or taken FROM the customer's master file."

Using BY

"The 'accept backorder' field of each individual order can be filled BY using the customer's master file."

"The system fills the 'accept backorder' field by what is in each customer's master file."

You can use 'depends on' in your case as well.

"The value in the 'accept backorder' field DEPENDS ON what is in each customer's master file."
