Someone can help me how to write an email regarding attendance., we are having maintance on our servers so i need one of engineers attendance required on mentioning date.

Dear Mr Manager,

We just wanted to let you know that we will be performing maintenance on Network infrastructure this coming Friday, which will require us to take down the form processing Switches & PBX. Therefore Kindly arrange Mr John to attend (Our Office Name) on below mentioned date . The scheduled outage is to happen on :
Friday, August 13th, 2010 8.00 AM / 10.00 AM

Friday, August 13th, 2010 8.00 AM / 10.00 AM (do you mean "from 8am until 10am" or "at either 8am or 10am"?)

In that case, "kindly arrange for John to attend..."

and

"Friday, August 13th, 2010, 8pm-10pm (or 8pm to 10pm)."
