I'm writing to tell you about the arrangements I have made for your forthcoming visit.

Firstly, I can't meet you at the airport, so Kate do it.
Unfortunately, I can't meet you at the airport but I have arranged for Kate to pick you up instead.

Secondly, I have taken(or took?) 2 days off, so we can go to the beach.
I have taken two days off work so we can go to the beach.
