How to write a letter or an email formally? What things do I need to concern?

The following is a message I typed before:

Dear sir,
Could you find the part number of the propeller? If possible, we can send
our technician to visit your vessel to have a general inspection.
Please kindly give us a schedule and the location of your vessel next
week. It would be better if you could book the vessel out of water. Thank
you.
With Regards,
XXX

I know that is not formal, however, I have no idea to make it be. Would you please help?
Or recommend me some idea in learning this stuff. Thank you.
